Arctic File III--Database Report Generation System

Arctic File III is a report generation module which goes beyond the scope of conventional database/report generation systems.

System Integration

Arctic File III has the ability to interface with Arctic Data's Accounts Receivable , Accounts Payable , General Ledger, Canadian Payroll , Inventory , and Time and Billing modules. The system can quickly extract a wide variety of information from any of these modules-from detailed customer histories, to sales figures for predictions of future company growth-- allowing for exceptional and specific reporting.

Arctic File III enables databases of information to be related between themselves, allowing for unique reports to be generated which are not offered in the standard modules. When importing data for databases, the system allows you to specify whether the data should be used "live" for on-line integration, or whether a copy of the data should be taken for manipulation purposes.

Database Management

The number of data bases that can be supported by Arctic File III is limited only by available disk space. In addition to the existing databases, user-defined databases can also be designed to assist in keeping track of other, unrelated information. User-defined databases can then be linked with existing information in the accounting modules to create useful reports and ensure efficient business operation.

Arctic File III provides you with the means to effectively manage all of your databases. The system allows you to:

This option allows you to transfer data from one database to another. All or individual entries can be moved as required. The option to limit the information within entries is also available.

This option allows you to transfer data from other accounting modules or ASCII files to the Arctic File III system. This data can be added to an existing database or form a new database.

This option allows you to set up passwords for databases so as to prevent unwanted access to your information. You can change passwords at any time, and remove passwords when necessary

This option allows you to delete entire databases. It is particularly useful after merging a data base

This option enables you to copy and make changes to a data base, while still maintaining the original data in a separate base

This option allows you to record procedures that will be implemented regularly for reports, merging data bases, etc. using new data each time.

Report Generation

The report generation program allows users to choose from amongst the following seven different styles of reports: single line report, multi-line report, form, labels, export to file, export to database, and export to WordPerfect. After a report style is selected, the report layout must be designed. There are several layout decisions to be made, including whether the report is to have groups (a group can be any segment of information after which you wish to have a break appear in the report); print sub-totals; page totals; and grand totals etc. The system allows you to specify how the data is to be sorted, and from what database or databases the information will be extracted.

With the report style and layout decided upon, the report format, or content must be determined. The report can consist of fields from the specified database(s), conditions for any of these fields which dictate whether their data is displayed, math fields, and user-defined text fields. After the fields in the report have been specified, you can choose to have the report summarized, and set limits on the report if necessary. Limits allow you to instruct the system to omit certain fields or data from the printed report. You can have predefined limits, which direct the system to omit the same fields or records from the report every time it is printed, or you can have runtime limits which enable users to instruct the system, at the time of printing, as to which, if any, fields or records are to be omitted. Once the report has been created, you can run it, print the layout, edit and copy it.
