The Daily Transaction Listing Report prints a list of all daily transactions. The
sequence number, invoice number, customer number and name, invoice and due dates, invoice
amount, service charge, salesperson, document type, and comment appear on the report.
The Monthly Transaction Listing Report is printed at month-end, just prior to
performing the month-end closeout. The report provides a hard copy of the month's
transactions. The report prints the sequence number, invoice number, customer number and
name, invoice and due dates, invoice amount, service charges, salesperson, document type,
and comments. Cumulative totals are provided for each transaction type.
The Detailed Accounts Receivable Report is a clear representation of the month's
business done with each customer. The report prints the customer number and name, invoice
number, previous balances, month's activity, current balance, transaction date, and
description.
The Accounts Receivable Status report is available for all custumers, active customers
only, or inactive customers only. The report prints the customer number and name, balance
totals for current credits, balances, year-to-date totals, and the last payment date. It
is available as either an alphabetic or numeric list.
The Statements reports are the actual billing statements that are regularly sent to
customers. Each statement prints your company name and address, the customer's name and
address, and the billing information. The billing information consists of any outstanding
invoices and their dates, debits, credits, and adjustments to those invoices, the balance
for each invoice, service charges, overdue amounts, and statement total.
The Statement Register report is available for individual salespeople or all sales
staff. The report prints the invoice date and number, debits, credits, and adjustments for
each invoice, service charges, past due days, salesperson, and totals. The report can be
printed alphabetically or by customer number. It displays totals for each customer as well
as the total of all customers.
The Open Invoice Listing report displays information about invoices that are still
open in the system. These are invoices that are unpaid, or only partially paid. The report
is available for individual or all salespeople. It prints the invoice number and date,
customer number and name, salesperson, territory, invoice activity, and current invoice
balances.
The Accounts Receivable Account Detail is an individual report for each customer that
displays the activity in their account. The report prints, for each invoice, the debits,
credits, adjustments, and their entry dates and shows current credits, balance due, and
year-to-date figures.
For each customer, the Aged Accounts Receivable Report prints the current and past due
amounts for each outstanding invoice. It also displays the customer name, phone number,
invoice number, and balance.
The Aged Trial Balance Report prints the customer name and phone number, last payment
date, total balance, current balance, and 30, 60, 90, and 120+ day balances. Cumulative
totals for each time period are presented for all customers.
The Customer List report can be printed either alphabetically or numerically. It is
used mainly for reference purposes, and presents customer name and number, mailing
address, and phone number.
The G/L Posting File is a register containing accumulated balances, and corresponding
G/L account numbers. The detailed version of this report includes the account name,
transaction date, number, and type, and the source. The summarized version prints only the
account number and name with the corresponding accumulated balances. It is availabe as a
printed report or an screen display. Posting can be done manually, or automatically if you
are using Arctic Data's General Ledger software.
The Monthly Sales Analysis report prints an analysis of all product sales. It is
available in either a summarized or detailed version. The detailed version can be sorted
by product code or invoice number, while the summarized version is only available sorted
by product code.
When sorted by product code, the Monthly Sales Analysis is presented as a comparison of
current month/current year to last month/last year totals and percentages. The report can
display detailed data of sales for each product code or summarized totals for the
products. The extent to which product sales can be differentiated is determined by the
manner in which the Accounts Receivable system is set-up.
When a detailed version of the Monthly Sales Analysis is sorted by invoice number, the
report can be limited to a specific invoice, a range of invoices, or all invoices. The
report prints the invoice number, account, customer, transaction date, product code,
distribution amount by product code, and invoice total.
Mailing Labels are printed on standard 3-1/2" X 1" self-adhesive labels, and
can be printed in alphabetical order if required. They are usually printed with a
customer's name and complete mailing address. A sample label can be printed to check the
printer alignment, and the printing can be aborted by striking any key.
This report is available for every customer entered into the system. It displays the
account number, customer name, current credit, balance due, and year-to-date figures. It
also gives the last sales date, and last payment date.
The Transaction File Inquiry Report prints transactions by sequence number, or by a
range of dates. It can be limited to individual transactions, a range of transactions, or
can include all transaction entered. For each transactions, the report prints the sequence
number, customer number, invoice date, due date, amount, servie charges, salesperson, and
document type. It also prints cumulative totals for debits, credits, adjustments, and the
entire batch.
This report displays the account detail for any customer in your files. The report
prints the customer name and number, current credit, balance due, and year-to-date
figures. For each invoice it displays the debits, credits, adjustments, and the dates for
each of these transactions.
Exporting Accounts Receivable Information
Data from the accounts receivable system can be exported to Arctic Data's "Arctic
File III" report generation software. Arctic File III can be used to develop custom
reports that suit the user's requirements. Via Arctic File III, accounts receivable data
may also be exported to a spreadsheet or word processing program.
