Contact Lens System

The contact lens system has two core functions:

  1. to store all exam information pertaining to patients' contact lens wear
  2. to track all details pertaining to contact lens service contracts

Contact Lens Exam Information

All of a patient's contact lens exam information is recorded within the contact lens exam system. This system consists of a diagnostic and progress check module, which allows the user to record initial and subsequent contact lens trials, as well as progress checks. These modules can be accessed from the main exam system by selecting a particular function key.

The diagnostic module ties into the contact lens order module. Once the user has selected the contact lenses for a patient and filled in the appropriate fields, the system prompts the user to indicate whether the lenses should be ordered. If the lenses are to be ordered, the contact lens order entry screen appears. This screen acts in much the same manner as the dispensary order screen. Relevant information is automatically transferred from the diagnostic module (such as supplier and lens specifications), and the system prompts the user to enter information about solutions, cost of lenses, order date, staff initials, quantity, status etc. The user can then print the order.

When the lenses arrive, the user dispenses the contact lenses in the delivery module.

Contact Lens Service Contracts

The Blue Diamond Optometrist system recognizes the growing importance of contact lens service contracts, or maintenance programs, in the professional optometry practice. The system is capable of handling service contracts in two different ways:

  1. by assigning a flat rate to a contract (more than one contract can be created)
  2. by creating a contract which is contingent upon three factors-the cost of the lenses, the cost of the solutions, and the professional fees of the optometrist.

The system organizes all solutions, lenses, and professional fees in easy to access look-up tables. The user can add as many choices as necessary to each of these tables.

When the user dispenses supplies to a patient who is on a service contract these supplies are recorded in the pick-up and delivery module. The pick-up and delivery module tracks the supplies which have been delivered, and notifies the user should the quantities delivered ever exceed the amount which was allotted for when the contract was set up.

Service contracts are billed to the patient's account just, as dispensary orders are; however service contracts can be split into multiple payments. These payments are easily tracked using the 'list of payments due' feature. This feature enables the user to generate a report, which lists payments due within a specified time period. These payments can be processed directly from the contact lens system. The patient account is updated accordingly.
