Scheduling System

The electronic scheduling system is one of the nicest features of the Blue Diamond
Optometrist system. It completely eliminates the need for a manual, often messy
looking and confusing appointment book! With a few simple keystrokes the electronic
scheduler can quickly and accurately track all appointments.

The user can customize the scheduler at any time so that it configures with each
optometrist's timetable. The user can program the scheduler to display only the days
and hours which each optometrist works. This feature enables each optometrist to book
off specific weeks, days, or hours, and ensures that appointments are only booked in available time slots.

Edit the Complaint

When making appointments, the scheduler searches for patients by first and last name.
If the patient is in the system, applicable information from the patient's file will be displayed,
such as the patient's optometrist, personal health number, age, phone number, and last
appointment date. This information helps to determine which optometrist the patient should be
scheduled with, and what type of appointment needs to be booked. If the patient is not in the
system, he or she must be added before an appointment can be made. Patients can be added
to the system 'on the fly' without even leaving the scheduler!

Once a patient has been selected, the system prompts the user to decide how much time will
be required for the appointment and to indicate whether the patient should be placed on a short
list. Time slots in the scheduler are either 10 or 15 minutes in length, depending upon what was
selected during system setup. When making an appointment, the user can enter a two-line
complaint, or reason that the appointment was made. The complaint can be edited at any time,
and is automatically transferred to the exam system so that the optometrist knows the reason
for the patient's visit. Complaints also appear on the doctors' printed day sheets.

When making the appointment the user can specify whether or not the patient would like to be
on the short list. The short list is comprised of patients which would be willing to come in if an
earlier opening is available. When the list of pulled up on the screen the information for the patient
and reason for the appointment is display. With this information the user can start contacting patients
to fill the vacant time slots.
